About Capassa
What is Capassa?
Capassa is your Digital CFO, a platform that gives you full financial control by pulling data from your accounting system and presenting it as insight you can act on. Forecasts, budgets, key figures, industry benchmarking and AI analysis gathered in one place.
What is Capassa Score?
Capassa Score is the industry's new standard for assessing a company's financial health. It rates your company on a scale from 0 to 10 based on three sections: Part 1, company information, Part 2, financial figures, Part 3, financial key figures.
Which important dates does Capassa help me remember?
Capassa helps you keep track of the dates from Altinn (the Norwegian public sector reporting portal), Skatteetaten (the Norwegian Tax Administration) and other public bodies, so you never miss an important deadline.
Features
Dashboards and key figures
See the full page →Do I have to set the dashboards up myself?
No. The dashboards are built automatically when you connect the business to Capassa. The numbers come straight from your accounting system, so you never have to create charts, reports or formulas yourself. All you need to do is connect the accounts — Capassa handles the rest continuously.
Which dashboards do I get?
Capassa is built around four standard dashboards: Overview, Profitability, Balance sheet and Liquidity. Overview shows the whole picture including Capassa Score, while the other three go into depth on their own part of the finances. Together they give a complete picture of the business, without you having to configure anything.
How often are the dashboards updated?
The numbers update automatically in line with your subscription: daily, weekly or monthly. Capassa Score™ is the exception — it updates once a month regardless of subscription, because it is a separate, overall assessment rather than just another dashboard.
Do I have to be a Capassa customer to use the dashboards?
Yes. Unlike the free Initial Capassa Score™, the dashboards require the business to be connected to Capassa with an active subscription. It is precisely that connection to the accounts that lets the dashboards be built and updated automatically, without you entering anything by hand.
What if I do not understand why a key figure has changed?
Then you ask Capa. The AI agent explains the development and helps you understand the connections behind the numbers, so you do not have to go looking for the answer yourself.
Do the dashboards replace my accounting system?
No. The accounting system records the transactions that take place in the business. Capassa takes those numbers and turns them into a clear basis for decisions, without you having to replace the system you already use.
Alerts
See the full page →What does Capassa monitor?
Among other things, Capassa monitors equity that has halved or been lost, missing mandatory occupational pension (OTP) and statutory deadlines from Altinn, as well as other important financial changes and trends. The monitoring is extended continuously as the platform gets smarter and new needs appear.
How does Capassa know when something needs attention?
The system analyses the company's accounts and other relevant data automatically, in the background, without you doing anything. You never have to register deviations by hand or remember to check anything yourself — Capassa alerts you when something genuinely needs attention.
Can I trust the alerts?
The alerts are built to help you spot conditions that need attention early, not to give you a guaranteed answer. They are a decision-support tool, in the same way as Capassa Score and the forecasts, and do not replace the company's own assessments or professional judgement.
What happens when I get an alert?
You are told what has happened or which deadline is approaching, with enough context to understand why it matters. The alert is a starting point, not an end point: you decide whether to look into it straight away or wait until it suits you.
Can accountants follow up several clients at once?
Yes. Alerts make it easier to identify which clients need attention right now, rather than checking every client regularly to work out who needs a conversation. That makes your advice more proactive, and gives you a better basis for prioritising your time between clients.
How is this different from an ordinary calendar reminder?
A calendar reminder reminds you of a date you entered yourself in advance. An alert from Capassa arises automatically from what is actually happening in the accounts and in the business, without you having to know what to look for. That is the difference between being reminded of something and being made aware of something you would otherwise have missed.
Capassa Score
See the full page →How do I get my first Capassa Score™?
All you need is the name of the company. We calculate a first Capassa Score™ based on publicly available information. If you want a continuously updated score based on your own accounts, you connect the business to Capassa.
What is the difference between the Initial and the Updated Capassa Score™?
The Initial Capassa Score™ is a free first impression based on public information. Once the business is connected to Capassa, it is replaced by an Updated Capassa Score™ built on continuous accounting data, which gives a more precise picture of the development.
How often is Capassa Score™ updated?
Capassa Score™ updates automatically once a month.
Is Capassa Score™ a credit score?
Not in the traditional sense. Capassa Score™ draws on some of the same data as a credit score, but it is built as a broader decision-making tool. The aim is to help management, boards, advisers and investors make better decisions, not just to assess credit risk.
Can I improve my Capassa Score™?
Yes. Capassa Score™ is not a goal in itself, but an indicator of how the business is developing. The dashboards, the forecasts and Capa help you understand what affects the score, and where to focus your efforts.
Can I use Capassa Score™ on companies other than my own?
Yes. All you need is the name of the company, whoever owns it. That makes Capassa Score™ useful not only for leaders following their own business, but also for board members, investors and accountants assessing several companies at once.
Forecasts
See the full page →How are the forecasts calculated?
The forecasts are built on the company's accounts, its historical development and ongoing financial data. Capassa tracks more than 30 key figures across profit, balance sheet and liquidity, and from those calculates a realistic picture of what is likely to happen next if the current development continues.
How often are the forecasts updated?
The forecasts update automatically once a month, when the latest accounting figures are ready. You never need to rebuild them or update them by hand — they follow the company's development in the background and always show the freshest picture of the road ahead.
Do I need years of history?
No. You do not need years of history, but the system needs at least 13 months of accounting data to produce good forecasts. If the business has a shorter history than that, Capassa can still produce forecasts, but they will be more uncertain until you have been through a full year.
What if the forecast is not quite right?
A forecast is not a fact, it is an estimate based on the information available. The aim is not for it to be perfectly accurate every time, but for you to spot changes early enough to react while you still have several options open.
Can an accountant use forecasts across several clients?
Yes. Accountants can use forecasts as the basis for proactive advisory meetings with their clients, rather than waiting until something has already gone wrong. You see early on which clients are starting to move away from the plan, and can get in touch while there are still good options available.
Can I adjust the budget based on what the forecast shows?
Yes. You cannot edit the forecast directly — it is calculated automatically from the company's actual development. But if the forecast shows that you are heading somewhere other than the budget assumed, you can go in and adjust the assumptions in the budget, so the plan again reflects the most recent information you have.
Budgets
See the full page →Do I need to be an accountant to build a budget?
No. Capassa builds the budget automatically from the company's historical accounts. You can adjust every number — expected growth or new costs, for example — and the system assembles the rest for you. Everything is fully dynamic, and you need no spreadsheet skills or finance background to get started.
What happens if the plans change?
The budget is dynamic and forecast-based, built to develop alongside the business rather than sit untouched in a drawer. You can update the assumptions whenever the situation changes — a new hire or a drop in demand, for instance — and the budget automatically works out how that affects the rest of the year.
Are profit and cash flow connected?
Yes. The profit budget and the cash flow budget are linked, but they are two separate worksheets. When you change something in the profit budget, such as expected revenue or a new cost, you are asked whether the cash flow budget should be updated accordingly, so you can see how the change affects both profitability and how much money the business has along the way.
What do I do if the actual numbers deviate from the budget?
Remember that the profit budget is the map for the business — the aim is not for the numbers to match exactly. It is about setting the direction and updating it as you go. You can use Capa to understand why the deviation arose, for example whether it is down to lower sales or higher costs than expected, and update the budget if the plans really have changed.
Can I use the budget in board meetings and with the bank?
Yes. The budget can be shared along with the rest of your decision material, in board meetings, with the bank or with investors. Everyone then discusses the same plan and the same numbers instead of their own separate estimates.
Is the budget useful if I have never built one before?
Yes. That is precisely why the feature was built. Capassa makes it easier to get started and gives you a realistic starting point based on the company's own numbers, rather than an empty spreadsheet you have to fill in yourself. You need no previous budgeting experience to start using it.
Reports
See the full page →Do I have to set the reports up myself?
No. The profit, balance sheet and liquidity reports are ready from day one, generated automatically from your accounting figures. You never need to build templates, pull in numbers by hand or wait for someone else to assemble them. You can share them with others in seconds, whenever you like.
Can I use the reports in board meetings and with the bank?
Yes. The reports are made to be shared with the board, the bank, investors and anyone else who needs up-to-date financial insight. You decide what to include, and Capa can suggest what is worth adding. Everyone then receives reports built on exactly the same up-to-date numbers.
Are the reports always up to date?
Yes. The reports draw on the same up-to-date accounting figures as the rest of Capassa, not a separate data set that has to be maintained on the side. When the accounts are updated, the reports update with them, so you always share fresh numbers and never an outdated version.
Can I create my own reports?
Not bespoke reports yet. Today you choose between the profit, balance sheet and liquidity reports, which together cover most needs. We are working on a solution where you describe what you want to see, and Capa builds the report for you automatically.
Does Capassa replace the annual accounts?
No. The annual accounts are a formal, audited report the business has to file regardless. Capassa is built for continuous reporting through the year, so you have up-to-date insight between one year-end and the next, not only when the financial year is over.
How do the reports relate to the dashboards?
The dashboards give you the overview; the reports give you the detail you can pass on. A dashboard shows you how things are going right now, while a report is a fixed snapshot you can send to the board or the bank. Both are built on exactly the same up-to-date numbers.
Data room
See the full page →What is the difference between the data room and ordinary document sharing?
The data room is built for sharing sensitive information in a structured way with the people who need visibility — the board, investors or the bank, for example. Unlike a shared folder or an email, you decide exactly who gets access to what, through roles rather than individual files you have to remember to reshare every time.
Can I withdraw access again?
Yes. Access is not permanent just because someone has been invited in. You can adjust the role of someone who already has access, or remove it entirely, at any time — for example once a funding round or a due diligence process has finished.
How do other people get access?
Everyone invited into Capassa is given a role that determines what they can see; the board sees something different from an external adviser, for instance. Everyone must identify themselves with BankID before they get access, so you know it really is the right person logging in and that sensitive information is shared securely.
Can I use the data room for due diligence?
Yes, that is exactly the kind of situation the data room is built for. When a due diligence process starts, several people need access to the documentation at the same time, often at short notice. Since everything is already collected and up to date, the time goes on answering the questions that actually decide the process, rather than pulling files together at the last minute.
Are the documents the same ones used elsewhere in Capassa?
Yes. The data room is part of the same platform, not a separate tool alongside it. The documents you share are always up to date, and you never have to keep track of whether the right version is sitting in the right folder somewhere else.
Why is the data room part of Capassa?
Because a standalone data room quickly becomes yet another place to keep up to date alongside the accounts, the budget and the rest of the company's numbers. When the data room is part of Capassa, the documentation is updated along with the rest of the platform, and you avoid maintaining the same content in several places.
Capassa Insight
Bookr
See the full page →Do I still have to research every business myself, the way I do today?
No. Bookr gathers up-to-date company information and relevant news automatically, instead of you having to check each business by hand against Proff.no or other sources. You do not need to spend time on research before getting in touch — the information is already there when you need it, and AI can suggest a starting point for an email or a phone call.
How does Bookr know which businesses are a good fit for us?
You tell Bookr which businesses you want as customers, and AI analyses your company, your website and the customers you already succeed with today. Based on that, Bookr ranks the businesses with the most potential for you specifically, instead of leaving you to search through long lists to find the right ones.
Does Bookr learn from other customers' data, or only from ours?
Only from your own. Bookr learns from your own sales work — which businesses, industries and patterns actually lead to deals for you — not from other customers' data. That means the prioritisation Bookr gives you is built on your own track record, not on general industry statistics that may not hold true for your business.
Can meeting booking and sales agencies use Bookr for several clients?
Yes. Bookr is built to manage several clients from one platform, with separate candidates, pipeline, statistics and customer overview for each of them. You switch between clients in a few clicks, without logging in and out of separate accounts, so the work for each one stays separate and easy to follow from the same place.
Do we have to buy all of Capassa Insight to use Bookr?
No. Bookr is the natural way into Capassa Insight, and you can start using it without buying the whole platform straight away. As your needs grow, you can add more parts of Insight without changing systems or losing the data and the set-up you have already built in Bookr.
Does Bookr grow into the rest of Capassa Insight over time, or is it a separate system?
Bookr is part of Capassa Insight, not a standalone system alongside it. The candidates and customer cards you build up in Bookr carry over when you start using more of the platform, such as the sales pipeline or the CRM, instead of you having to start again or move data between systems by hand.
Do we have to enter everything by hand for the customer card to fill up?
No. Meetings, phone calls, emails and transcripts are gathered on the customer card automatically as the dialogue happens. You do not need to copy information from several systems into one — the customer card builds itself from the work the team is doing day to day anyway.
What happens when a new salesperson takes over a customer?
All the information sits on the customer card, so the new salesperson quickly understands where the customer stands. AI helps out, so the next follow-up builds on what has actually been said before instead of starting from nothing.
Is this just a contact register, or something more?
Something more. A traditional contact register stores names and phone numbers. The customer card in Insight gathers the whole dialogue — meetings, emails, calls, notes and contracts — and AI puts it to use to summarise and suggest the next step, rather than simply keeping it on file.
Can several clients be managed from the same account?
Yes. Sales and meeting booking agencies can manage several clients from one platform, with a separate customer overview and history for each of them. You switch between clients in one click, without logging in and out of separate accounts.
Does the whole team see the same information, or only the person who entered it?
That depends on each person's role, not on who originally entered the information. Whoever administers the account decides which role each person is given, and therefore what information they can see. The point is the same either way: you do not have to have noted everything yourself, because the right information is available to the roles that actually need it.
Does this work together with the rest of Capassa Insight, such as Bookr?
Yes. The customer card is part of the same platform. Candidates you find in Bookr carry over into the CRM when the dialogue starts, without you having to move information by hand between separate systems.
Customer overview
See the full page →Do I have to check every customer manually to know who needs following up?
No. Customer overview shows the status of the whole portfolio in one view, with clear colour coding for each business, instead of you having to open every customer card to check. If a customer moves into a risk zone, you see it the moment you open the overview. You can also put the customers you are most concerned about on a watchlist of their own, so it is easy to keep a closer eye on exactly those.
Is this a credit assessment?
No, not in the traditional sense. Customer overview shows financial development and risk signals based on publicly available information and recognised financial models. The aim is to help you prioritise your follow-up, not to deliver a formal credit assessment.
How does Customer overview know that a customer is struggling financially?
Every business is given a score and placed in a zone, safe, grey or danger, based on publicly available information and recognised financial models. If a business moves into the danger zone, you are alerted, instead of finding out by chance or too late.
What if publicly available information is not enough?
Then you can request ongoing accounting data directly in the app. It is up to the business itself whether they share it, in the same way Capassa works for individual companies. If you are given access, it gives you a more precise picture than what is publicly available.
Can I use Customer overview for just a few large customers?
Yes, and that is exactly when it is most valuable. If a few businesses make up much of your customer portfolio, it is particularly important to notice early if one of them starts to struggle, before it affects you.
Does this work together with the rest of Capassa Insight?
Yes. Customer overview is part of the same platform as Bookr and the CRM. The businesses you follow up there are the same ones you see in the portfolio, without you having to move information between separate systems.
Statistics
See the full page →Do we have to set the reports up ourselves?
No. Statistics gathers activities, meetings, pipeline and contracts automatically as the team works. You do not need to build reports or dashboards by hand — they are already there when you need them.
Can we compare the activity of different salespeople?
Yes. Statistics shows activity and booking rate per salesperson, side by side with the team's combined figures: calls, meetings booked, emails and notes. You see exactly who is doing what, and can use that as a starting point for spreading good working habits through the team.
Can several clients be followed up from the same account?
Yes. Sales and meeting booking agencies can manage several clients from one platform, with separate statistics and reporting for each client, without mixing the figures together.
Do we have to export the data to analyse it ourselves?
No, but you can if you want to. The reports and dashboards are ready to use inside Insight, and export is available for anyone who wants to work on the figures further in other tools.
Does this work together with the rest of Capassa Insight?
Yes. Statistics is built on the same activities, customers and contracts as the rest of Insight, from Bookr to the CRM. You do not have to log anything twice for it to show up in the statistics.
Pricing
Can I change plan later?
Yes, you can upgrade or downgrade your plan at any time. The change takes effect immediately, and you only pay for what you use.
How long does setup take?
You are up and running in 2 minutes. Log in with BankID, connect your accounting system, and get access to insight immediately.
Which accounting systems are supported?
We integrate with every leading Norwegian accounting system: PowerOffice Go, Tripletex, Fiken, Visma eAccounting, Duett, Finago, Azets, Eika Regnskap, DNB Regnskap, Sparebank 1 Regnskap and Unimicro.
What happens to my data if I cancel?
You can cancel your subscription at any time and export all of your data. After the subscription ends, your data is stored for 90 days before being permanently deleted.
Integrations
Which accounting systems does Capassa support?
Capassa integrates with PowerOffice Go, Tripletex, Fiken, Visma eAccounting, Duett, Finago, Azets, Eika Regnskap, DNB Regnskap, Sparebank 1 Regnskap and Unimicro.
How do I find the key to my accounting system in Capassa?
When you integrate your accounting system with Capassa, you need either a key or a username and password from that system, depending on which accounting system you use. Capassa shows you exactly where to find this information, right inside the integration flow.
How do I change my accounting system?
Delete the existing accounting system in the app, log out of Capassa, log back in and integrate with your new accounting system.
Why can't I integrate with my bank?
You do not need to integrate with your bank. All the information Capassa needs to give you up-to-date insight is already in your accounting system, which is connected to Capassa.
Users and access
What are the different user profiles in Capassa?
Owner: full access to make any kind of change. User: can make some changes, but cannot invite other users or sign on behalf of the company. Visitor/board member: has read access and can only change their own personal user information.
Where can I invite other users?
You can invite other users under User profiles in the settings. You need the right role (owner) to be able to invite others.
How do I make changes to the company profile?
Capassa automates the data collection, so the only change you can make manually is your company's contact information.
Security and privacy
Who owns the data?
You do. Your company's data belongs to the company, not to Capassa. If you end your subscription, all data specific to your company is deleted.
Where is the data stored?
With Microsoft Azure, in data centres in Norway and Western Europe. Data is encrypted both in transit and at rest.
Can Capassa see our accounts?
No. In Capassa – Your Digital CFO it is the algorithms that do the work on your data, not our employees. The key required to access customer data is held in a dedicated Key Vault in Azure. Only one person at Capassa has that access today, and everything that happens in the vault is logged.
How does sharing with the board, the bank or investors work?
You decide who gets access and what role they have. Invite the board, the bank, investors or your accountant in with exactly the access they need, and remove it again whenever you want to.
What happens if we end our subscription?
All data specific to your company is deleted.
How is a new company onboarded to Capassa?
Automatic onboarding happens with BankID. Your role in Brønnøysundregisteret, the Norwegian register of business enterprises, determines the access: only the chief executive or the chair of the board can onboard a company. If someone without a Norwegian BankID needs access, that is approved separately by the chief executive or the chair of the board.
What information does Insight use about companies?
Publicly available information, combined with what the company itself enters or gives access to. If Insight asks a company for ongoing accounting data, that always happens with the company's own consent.
Is it possible to sign in with SSO?
Yes, in Capassa Insight. Insight does not require BankID for use, unlike automatic onboarding to Capassa and access to the Data room, which both require BankID.
